Seasonal HVAC Tune-Up Checklist

1. Arrival, Safety & Customer Walkthrough

  • Confirm the appointment, greet the customer, and put on shoe covers / lay drop cloths at the work area.
  • Ask about comfort complaints, noises, short-cycling, or high bills since the last visit and note them on the ticket.
  • Locate and confirm access to all covered equipment: condenser, air handler/furnace, thermostat, and disconnect.
  • Verify power is available and the disconnect/breaker is accessible before starting; lock out power before opening electrical panels.
  • Photograph the equipment nameplate (model/serial) and overall condition for the service record.

2. Cooling — Outdoor Condensing Unit

  • De-energize the unit at the disconnect before touching electrical or the fan.
  • Clear leaves, grass, and debris from the coil and maintain clearance around the unit.
  • Rinse/clean the condenser coil fins and straighten bent fins as needed; check for coil damage or oil spots (possible leak).
  • Inspect the contactor for pitting/burning, tighten electrical connections, and check capacitor microfarads against the nameplate rating.
  • Check compressor and fan motor amp draw against nameplate; oil the fan motor if it has ports.
  • Inspect refrigerant line insulation and confirm the service disconnect and whip are intact and code-compliant.

3. Indoor — Air Handler, Blower & Drainage

  • Replace or clean the air filter and note the size and next-change date for the customer.
  • Inspect and clean the blower wheel and housing; check blower motor amp draw and bearings for noise.
  • Inspect the evaporator coil for dirt, frost history, and biological growth; clean or recommend cleaning as needed.
  • Flush the condensate drain line, clean the pan, and test the float/safety switch by tripping it.
  • Check the blower door safety switch and confirm the cabinet seals and panels close properly.
  • Inspect accessible ductwork connections at the unit for leaks, disconnected sections, or crushed flex.

4. Heating — Furnace, Burners & Combustion

  • Inspect the heat exchanger visually (and with a combustion analyzer / CO check where applicable) for cracks or corrosion — red-tag and shut down if compromised.
  • Clean or inspect burners and the flame sensor; check ignitor resistance or pilot/thermocouple operation.
  • Verify flame appearance, ignition sequence, and safe flame rollout / limit switch operation.
  • Check gas pressure at the manifold against the rating plate and inspect the gas line and shutoff for leaks.
  • Inspect the flue/vent for proper slope, secure connections, and no blockage or backdrafting; confirm draft.
  • Test the inducer motor and pressure switch operation; clean the condensate trap on high-efficiency units.

5. Controls, Thermostat & Electrical

  • Test thermostat operation in heat and cool modes and confirm the temperature reading is accurate.
  • Replace thermostat batteries if applicable and confirm programming/schedule with the customer.
  • Tighten all accessible electrical connections and inspect wiring for chafing, rodent damage, or overheating.
  • Check and clean the flame sensor and verify safety controls (limits, pressure switches, float switches) actually shut the system down when tripped.
  • Confirm proper equipment sequencing: call for heat/cool, staging, and blower on/off delays.

6. Measured Readings & Performance Verification

  • Cooling: measure supply/return temperature split (target ~[16–22°F] depending on conditions) and record it.
  • Cooling: verify refrigerant charge via superheat/subcooling per manufacturer spec — do not top off without a documented reason.
  • Heating: record temperature rise and confirm it falls within the furnace nameplate range.
  • Record combustion readings (CO, O2/efficiency) on gas equipment where your tools and scope allow.
  • Log key amp draws, capacitor readings, and static pressure if measured, so next season's tech has a baseline.

7. Wrap-Up, Documentation & Next Steps

  • Reinstall all panels, restore power, and run the system through a full cycle before leaving.
  • Clean up the work area and remove any old filters or debris.
  • Complete the checklist, note any deficiencies, and give the customer a written copy with photos of any problems found.
  • Present repair recommendations with priced options; separate safety items (do now) from efficiency items (plan for later).
  • Schedule or confirm the next seasonal visit and, if the customer isn't enrolled, offer the maintenance plan.

This checklist is a general operations reference, not a substitute for the manufacturer's service instructions, equipment specifications, or your local mechanical, gas, and electrical codes. Combustion, gas-line, and refrigerant work should be performed only by qualified, properly licensed technicians, and refrigerant handling requires the appropriate EPA Section 608 certification. Always follow your own safety procedures and lockout/tagout practices, and adapt these line items to the equipment you service.
